When spreadsheets stop working (usually around 200 units)

Most teams do not choose the wrong software on purpose—they outgrow ad hoc tools. At roughly 200 units, turns, vendor coordination, and owner questions overlap enough that one person cannot hold the model in their head. The warning signs are familiar: duplicate unit lists, maintenance status in three places, and owner reports that take a full day to assemble. Fixing that is less about features and more about one record per unit that staff, vendors, and owners can trust.

Owner reporting without five CSV exports

Asset managers do not want another login full of staff clutter. They want occupancy, collections, and open maintenance for their properties—on a schedule they can plan around. If your team still builds owner packages by hand, measure the hours and ask whether those hours could go toward renewals or capex planning instead. A read-only owner portal pays for itself the first time an investor stops emailing for a status update.

Cutting maintenance call volume without adding coordinators

Residents call when they do not know what happened to their request. A portal with status updates and clear SLAs removes most of those calls—not because residents love software, but because they prefer certainty to hold music. Pair self-service with internal escalations so coordinators chase overdue work instead of repeating the same answer on the phone.
